If you are a client, our service agreements may include additional privacy terms that prevail where they differ from this notice.

Scope and role

  • For our website, chatbot, and marketing activities, DotHound acts as the data controller.
  • When we process data for clients (for example, building a chatbot or app), we act as the data processor and follow the client’s instructions.

Information we collect

A) Information you provide

  • Identity and contact: name, company, role/title, email, phone/WhatsApp, social profile/handle, country/time zone.
  • Business/project details: goals, requirements, budget range, timeline, URLs, and files you upload.
  • Communications: messages sent via our site, email, chatbot, or social channels.
  • Billing (clients only): billing contact, address, tax/VAT details, and payment references processed by our payment provider. We do not store full card numbers.

B) Information collected automatically

  • Device and usage: IP address, browser/OS, device type, pages viewed, referring URLs, timestamps, and general interaction data (for example, clicks and scrolls).
  • Cookies and similar technologies: see “Cookies & tracking” below.

C) Information from third parties

  • From scheduling and form tools (for example, discovery call details).
  • From analytics and advertising platforms in aggregated form.
  • From social platforms if you interact with our pages or connect your profile.

We do not intentionally collect special category data (for example, health, biometric, or sensitive personal data). Please avoid sharing confidential or sensitive information through open forms or the chatbot.

How we use information

  • Operate, maintain, and improve our website, chatbot, and services.
  • Respond to inquiries, proposals, demo requests, and support queries.
  • Schedule and manage discovery calls via our scheduling page.
  • Send service updates and marketing communications (with consent where required). You can unsubscribe at any time.

  • Produce de-identified or aggregated analytics to understand performance and trends.

  • Contract: to respond to your request or deliver services you ask for.
  • Legitimate interests: to run, secure, and improve our site and business; to market similar services to current customers.

Sharing your information

    • Service providers (processors) that help us operate our website, forms/chatbot (including Jotform), scheduling, analytics, CRM/email, cloud storage, and internal communications. They must protect your data and act only on our instructions.

    • Authorities or legal requestors when required by law.

    We do not sell personal information. We do not allow providers to use your data to train their public models without your consent.

    Retention

    • Leads, inquiries, chatbot and form records: up to 24 months after your last interaction, unless you ask us to delete sooner or law requires longer retention.
    • Client/project files and contracts: typically up to 7 years from project completion.
    • Analytics data: retained per provider defaults.
      We may keep information longer to meet legal obligations, resolve disputes, or enforce agreements.

    Your rights and choices

    • Access, correction, deletion, or portability of your personal information.
    • Object to or restrict certain processing.
    • Withdraw consent at any time (for example, marketing or optional cookies).
    • EEA/UK residents may complain to a supervisory authority. We encourage you to contact us first: hello@dothound.com.

    California (CCPA/CPRA)

    • We do not sell or “share” personal information for cross-context behavioral advertising. You may still request access, correction, and deletion by emailing hello@dothound.com.

    Cookies & tracking

    • We use essential cookies needed for the site to function, and—where consented—analytics, functional, and advertising cookies.
    • You can manage preferences via the site’s cookie banner/settings or your browser settings. Blocking essential cookies may impact site functionality.
    • We do not currently respond to “Do Not Track” signals due to industry variability.

    AI chatbot and automated interactions

    • When you use our chatbot, we collect your messages and related metadata to operate, secure, and improve the chatbot and support responses.
    • We may use trusted AI providers solely to deliver the chatbot service. We instruct providers not to use your data to train public models where contractual controls are available. Please avoid sharing confidential or sensitive information in the chatbot.

    Security

    We apply administrative, technical, and organizational safeguards appropriate to the data we handle. No method of transmission or storage is completely secure; please use caution when sharing information online.

    Children’s privacy

    Our website and services are not directed to children under 13, and we do not knowingly collect data from them. If you believe a child has provided personal information, contact us and we will delete it.
